Rental Property Policies

Nightly Minimum

Two-night minimum stay is required November 1 through April 30. Three-night minimum is required May 1 through October 31. Longer minimum stays may be required during holiday, certain seasons and golf tournaments.


When a reservation is made, the credit card will be charged a deposit of 50% of the occupancy charge. Within one week of arrival, reservations will charge $500 for the security deposit as described below.

For all reservations, the final balance of the occupancy charge is to be paid at least thirty (30) days prior to the arrival date to the credit card on file. If for any reason Kohler Co. experiences any issues with charging the credit card, Kohler Co. reserves the right to cancel the reservation.

If the reservation is less than 31 days in advance, the total occupancy charge and security deposit will be charged to the credit card.

If more than one adult occupant, each adult shall be jointly and severally liable for the full amount of all payments due under this agreement.


Tenant will not be responsible for any utility charges.

Other Charges and Fees

Rates are subject to applicable state sales and county occupancy taxes, which are in effect during the time of the stay. Please note that these are subject to change as authorized by the appropriate governing body. Kohler Co. will adjust the reservation to reflect current tax rates, which are in effect at the time of the stay and will charge the credit card on file for any tax increase. Kohler Co. will credit the guests’ account for any tax decrease.

Guests of the rental properties have charging privileges for purchases or additional activities at Destination Kohler. These charges include but are not limited to meals, purchases from the pro shop and other Kohler shops, additional rounds of golf, spa services at Destination Kohler. The guest is responsible for these charges upon checkout.

Private transportation requires advanced reservations and may have a service fee. Transportation availability can be checked through the resort’s Bell Service department (920) 457-8000 extension 55188.

Kohler Co. is authorized to charge the credit card on file for any additional charges to the account. On the day of arrival, $500 will be authorized on the credit card provided to cover for the approximate value of incidentals. All incidentals charged back to the room will be charged to the card on file on a nightly basis. Kohler Co. will email or fax a copy of the guests’ charges after check out. Any credit due back to the guest will be processed immediately by the resort, but the funds may not return to the bank account immediately. This process may take 3-5 business days depending on the financial institution. If for any reason Kohler Co. experiences any issues with charging the credit card on file, Kohler Co. reserves the right to cancel the reservation and revoke access to the rental property.

Guests of the rental properties have the option of using a credit card other than the one on file for any incidentals. In such an event, a guest will be required to come to The American Club, 419 Highland Drive, Kohler, WI 53044, present the credit card to be authorized at the front desk.


After the occupancy charge and security deposit are paid in full, Kohler Co. will email or fax to guests’ attention the directions to the rental property and personalized key code allowing access to the property during the occupancy period.

Security Deposit

The Security Deposit amount is $500.


Immediately upon arrival, the guest agrees to notify The American Club front desk staff at 920-457-8000 of any noticeable damages or conditions requiring repair or maintenance. The guest agrees to be responsible for any damages to the property and cabin during their stay. This includes damages to the furnishings and household items that result from the guests’ action or inaction, including the action or inaction of their invitees, excluding normal wear and tear. Any charges will be deducted from the Security Deposit. If for any reason, the amount of damages exceeds the $500 Security Deposit, the guest agrees to allow Kohler to charge the credit card on file for the excess damages. The guest further agrees to reimburse Kohler Co. for any collection costs, if necessary, and reasonable attorney fees.

After departure, the property is inspected and inventoried for damages and missing items. Wisconsin law allows 30 days from departure date for damages to be assessed and billed or accounted to guests. Guest agrees that all losses or damages not reported to Kohler Co. no later than the departure date will be the guests’ responsibility.

Cancellations and Forfeits

All cancellations made within 31 days of the Arrival Date are non-refundable. In the event the guest must cancel their reservations within that 31-day period, please notify us as soon as possible. Kohler Co. may be able to re-rent the property for the original dates. Although there is no obligation on Kohler Co.’s part to actually re-rent the property. If Kohler Co. is able to re-rent the rental property at the same price and time period, all monies (less a $75 cancellation fee) will be returned to the guest within 30 days after re-booking. If Kohler Co. is unable to re-rent the property, the full rental payment will be forfeited.

If cancellations are made outside of the 31 days of arrival, the deposit will be refunded minus the $75 cancellation fee. The deposit shall be returned within 30 days of Kohler Co. receiving the cancellation notice.

Kohler Co. is not responsible for the weather or other acts of God and there will be no refunds for these occurrences. Transportation in such events are not guaranteed.


Maximum occupancy is six (6) guests. Maximum occupancy violations will result in termination of the reservation and immediate eviction from the rental property.

Absolutely no parties, youth groups, fraternities, sororities, weddings, receptions, or meetings allowed.

Kohler Co. does not rent to students or groups of students under any circumstances, even if a parent or legal adult makes the reservation and/or pays the charges. If such group attempts to occupy one rental property, all monies will be forfeited and everyone will be required to vacate the property immediately.

Absolutely no firearms, pyrotechnics, unsupervised outdoor fires, off road dirt bikes, audible disturbances, or littering will be permitted on the rental premises.


Kohler Co. is not responsible, nor will refunds be issued, for mechanical failures of non-essential or luxury items, including, but not limited to, Sauna, Television, Satellite/Cable Service, Dishwasher, Washer/Dryer, Fireplaces, Air Conditioning, Duel Gas/Charcoal Grill or any other appliance that fails to operate properly during your stay. No refunds will be issued for minor disruption of any utilities including, but not limited to, power outages, water outages, etc. These failures are beyond our control and no refund or rent reduction will be given. Please report inoperative equipment to The American Club front desk and Kohler Co. will make every effort to have repairs done as quickly as possible during reasonable hours. Speed of service cannot be guaranteed due to the remoteness of the properties.

Only local telephone calls can be made from the telephones located on the property. You will need to bring a calling card to place long distance phone calls. Cell phone service quality is not guaranteed on the property.

Construction or road noise near the property is beyond our control. If you experience construction noise during your stay, no refunds or relocation will be made.

****Sandhill includes a sauna. Guests should be aware of some risks that can be associated with a sauna. Guests assume all responsibilities for these risks and consequences. Absolutely, no pets or children are allowed in the sauna. Guests of special attention including, but not limited to, pregnant women, elderly, and disable persons should use heavy caution while using the sauna.

****Sandhill provides a charcoal burning grill. Charcoal is not provided and should be purchased separately.


Pets are allowed on the property, including inside the rental properties. There is a $100 non-refundable pet fee per pet unless otherwise noted.

Any misrepresentation regarding number of pets will be charged accordingly.

Guests are held financially responsible for all physical damages to property (i.e.) chewing, scratching, flea infestation, etc), inflicted on the property by the presence of a pet. If extra cleaning is deemed reasonable due to the presence of a pet, (i.e. soiled furniture and/or flooring, hair on furnishing or bedding, or fleas) the guest will be held financially responsible and the credit card on file will be charged for the amount of the repair/recovery.

All pets are required to be leashed when outside and no pet shall be tied outside unless supervised by a reasonable adult.

Guests agree to hold Kohler Co. harmless for any pet injury or accident whatsoever that may occur during occupancy of the rental properties.

Check-in and Check-out Procedures

CHECK-IN IS AFTER 4 PM AND CHECK OUT IS BY 11AM. If the property is not vacated by 11:00 AM, Kohler Co. is authorized to enter the property and remove guests’ belongings from the property at their expense. Additionally, a late check-out fee up to a full nights rate plus tax will be assessed and charged to the credit card on file.

EARLY CHECK-IN: Early check–in and late check outs may be available but must be pre-approved. Additional fees will apply.

Lost Key

If the key is lost or guests are locked out of the rental property, they may borrow a key by coming to the reception desk at The American Club. A $75 charge will be assessed to the credit card on file for all lost keys or if our staff is required to meet the guest at the property.
